The Convention and Special Events Planner will support Canadian Aviation Pride's national programming by assisting with the planning and development of CAP's inaugural Inclusivity Summit, taking place in Ottawa in the fall. Most planning will occur during the summer, and the coordinator will play a key role in coordinating partnerships, logistics, outreach, and program development. The Summit will focus on mental health in aviation, bringing together industry professionals, students, and community leaders to advance conversations around well-being and inclusion. In addition to Summit planning, the coordinator will also support CAP's participation in Ottawa Pride.

Key responsibilities include:

  • Assist in developing the Summit program, including identifying session themes, speakers, panelists, and partners aligned with mental health and inclusion in aviation.
  • Support outreach to community organizations, industry partners, mental health professionals, and potential sponsors to build a collaborative and impactful event.
  • Coordinate early logistical planning such as venue research, catering inquiries, accessibility considerations, and preliminary scheduling.
  • Contribute to the creation of promotional materials in collaboration with CAP's digital and communications team, ensuring consistent messaging across platforms.
  • Prepare outreach lists, contact databases, and partnership summaries to support targeted engagement with local and national stakeholders.
  • Support CAP's presence at Ottawa Pride by coordinating logistics, preparing materials, and assisting with community engagement activities throughout the celebration.
  • Assist with volunteer coordination for Summit-related tasks, including recruitment, scheduling, and event-day planning.
  • Conduct research on mental health resources, best practices in wellness programming, and models for inclusive professional conferences to inform the Summit's structure and content.
  • Support grant reporting and internal documentation by tracking progress, compiling meeting notes, and preparing planning updates.
  • Help manage Summit-related materials, inventory, and supplies, ensuring readiness as planning advances.
  • Contribute to community engagement by responding to inquiries, sharing event information, and encouraging participation from local organizations, students, and professionals.
  • Assist with budget tracking for Summit activities by gathering quotes, organizing receipts, and preparing summaries of anticipated costs.
  • Support the development of sponsorship and partnership packages by drafting materials, preparing outreach communications, and coordinating follow-ups.
  • Help coordinate summer activities connected to the Summit's theme, including early promotional events or educational outreach opportunities.
  • Collaborate with CAP's Executive Director, board, and volunteers to ensure clear communication, smooth project flow, and alignment with CAP's national goals.

Through this role, the Convention and Special Events Planner will gain hands-on experience in event planning, partnership development, mental health programming, cultural event support, and non-profit operations.

Note: Applicants must be available within the Ottawa area for in-person events.
